Gulfcoast Event and Conference Center

Located at 4740 Cattlemen Road in Sarasota, the Gulfcoast Event and Conference Center is easily accessible from I-75, just north of Proctor Road. It is situated on a 12-acre wooded parcel with 6.5 acres of natural wetlands, complete with a boardwalk providing a tranquil setting for functions.

Is the Gulfcoast Event and Conference Center near I-75?

Yes, our handicap-friendly building is located minutes from I-75 exits at Bee Ridge (#207) and Clark (#205).

What are the directions to the Gulfcoast Event and Conference Center?

From the North and South: take I-75 to exit 207, Bee Ridge Road. Head west to the first stop light.  Turn left going south on Cattlemen Road for approximately one mile.  Turn right on to Whirlaway Drive, and make an immediate left into the main drive of the regional campus of Girl Scouts of Gulfcoast Florida.  Follow the directional signs to the Girl Scouts Gulfcoast Event and Conference Center.

Is the facility large enough to accommodate my group?

Banquet-style: Our standard setup of 17 round tables with eight chairs accommodates 136 attendees.

Audience-style: Rows of chairs accommodates 200 attendees (additional setup fee applies).

Do you cater or is food available?

No, Girl Scouts of Gulfcoast Florida, Inc. does not cater events, and we do not recommend any provider in particular.  Adjacent to our auditorium is a kitchen where food may be brought in by the renter, or the renter can arrange to have food delivered.  The kitchen has two full-sized refrigerators, a microwave, sink, and ice machine (no stove or coffeemakers are available).  The client is also responsible for bringing any table linens/cloths if needed.

What audio/visual amenities does the center offer?

How do I know how much time to schedule for my meeting?

When a reservation is booked, the client is asked the time building access is needed, the time range of the event, and the amount of time needed for clean-up and exit of the building. 

What type of events will you consider?

Events considered by Girl Scouts of Gulfcoast Florida, Inc. for use at our facility are business-related in nature.

What is the fee?
  • Day rate Tuesday – Friday up to 5:00 p.m. is $125 per hour.*
  • Evening rate Tuesday – Friday after 5:00 p.m. is $200 per hour.*
  • Weekend rate is $200 per hour.*

All events are calculated on an hourly-use basis to include all set-up, decorating, caterer delivery, pick-up, meeting time, breakdown, and cleanup.

A reserved event is not considered confirmed until a deposit or full payment is received.  Events scheduled more than 30 days in advance may pay a 50% deposit and pay the balance due 30 days from the event. Events scheduled within 30 days must be paid in full.

Is there a usage agreement?

Yes, if Girl Scouts of Gulfcoast Florida, Inc. agrees to host your event at our Gulfcoast Event and Conference Center, a usage agreement will be prepared outlining expectations for building use, the cost to your organization, and any special considerations needed that are discussed with our property manager.

What else does my organization need to provide in addition to a signed usage agreement?

We require a current certificate of liability in the amount of $1 million when a signed usage agreement is returned and the reservation is confirmed.  Tax-exempt organizations must provide a copy of their tax exemption certificate prior to billing.  

May alcohol be served?

Any alcohol (beer, wine, or spirits) must be pre-approved by our CEO and must be handled by a licensed caterer.

Girl Scouts of Gulfcoast Florida, Inc. received the Leadership in Energy and Environmental Design (LEED) certification by the U.S. Green Building Council for its two facilities on the Searcy G. Koen Regional Girl Scout Campus in Sarasota.

The LEED certification supports the council's overall goal to teach girls how to become stewards of the land. Girls are encouraged to participate in a variety of educational and environmental opportunities, which provide them with a better understanding of the need to care for the environment.
